Using Happity Alongside Another Booking System

Here’s how to use Happity alongside another booking system, so you can maximise the value of your listing without overselling your classes.

Bookings are available for Happity Members only. If you’re on the free plan, you’ll need to upgrade first. You can upgrade in your Dashboard or learn more about Membership.

Making your classes bookable on Happity is a brilliant way to get more visibility, more clicks, and fill those spaces. Here’s how to use Happity alongside another booking system, so you can maximise the value of your listing without overselling your classes.


Step 1: Switch on bookings

To take bookings on Happity, you’ll first need to activate Happity Bookings.

Step 2: Set your capacity

It’s easy to avoid overselling by using the Edit Spaces feature on Happity.

You’ll first want to decide how many spaces to sell on the platform. For example: If your class has 10 spaces, you might sell 5 on Happity and 5 on your other system.

💡 Spaces on Happity are per child – so 5 spaces = 5 children + 5 parent/carers.

To set your capacity:

  • Click the three dots (⋮) next to your class, then select View.

  • Under Upcoming Classes, click Edit spaces beside the date.

  • Enter the number of spaces and click Save.

  • To apply this number to all dates, select Yes, apply to all.

💡 You can update spaces at any time – for example, if you sell out on Happity, you could reduce the spaces on your other system and move them to Happity (or vice versa). You can even do this quickly from your phone.


How will I know when I’ve got a booking?

  • You’ll get an email every time you receive a booking on Happity (sent to the contact email on your account).

  • Not sure which email you used? Head to Profile > Organisation and click the Contact tab to find your contact email.

  • You can also see bookings at any time in My Classes > Registers. Just click on the class date to see a list of customers who have booked.


Can I add bookings to my Happity register manually?

Adding bookings manually is a great way to get all your customers for the class into one register.


Can I export my register from Happity?

You might want to export your register if, for example, you want to add Happity bookers into your other register manually, or if you like to have two registers with you at the class.

  • Go to My Classes > Registers → click the class date → Print Register.
    This creates a PDF copy of your register that you can print or view online.


Can I contact customers who have booked through Happity?

There are two ways to contact customers who have booked via Happity.

1. Contact customers for a particular class

  • Go to My Classes > Registers → click the class date.
    You’ll see your customers’ contact details alongside the child’s name, age, and ticket type.

2. Export all your bookers

You can also export all your customers and add them to your CRM or mailing list for marketing.

  • Go to Customers > Bookings and export the CSV.
    Each customer will be listed with their opt-in status – just be sure to only contact the ones who have opted in to marketing emails.


Could Happity be my main booking system?

Absolutely! Lots of our Members – both independents and franchisees – use Happity as their main booking system. It’s a simple way to save money and cut down on admin too.
